Industrial vs Office Staples: Series, Leg Length, and Stapler Compatibility for Buyer RFQs

Avoid starting a staple enquiry with dimensions alone. Start with the machine and application, then name the staple family and series. An industrial stapler built for an 80, 90 or 71 series cannot be approved from a loose description such as “narrow staple,” while office series such as No.10, 24 and 26 belong to a different purchasing path.

The practical rule is simple: tool model first, approved staple series second, exact crown and leg dimensions third. If any one of those fields is missing, keep compatibility open and request a sample rather than treating a visually similar staple as interchangeable.

Keep the Two Families in Separate RFQ Lines

Create separate quotation lines even if one supplier can make both families. This prevents an office-series label, industrial finish or carton code from being copied into the wrong SKU during pricing, artwork approval or repeat ordering.

A Series Name Is Not a Complete Dimension

Series terminology helps identify a product family, but it does not replace a drawing. Buyers should return the crown width, leg length, wire width and wire thickness shown in the current tool manual or approved staple drawing. If only a sample is available, measure it and label the values as sample observations—not as a universal series standard.

Build Compatibility From the Tool Backward

Ask the plant or customer to supply five items before requesting a price:

  1. Stapler manufacturer and complete model number.
  2. Photo of the tool label and magazine, with old labels kept legible.
  3. Current manual page or approved fastener schedule.
  4. Existing staple carton label and a retained strip, if available.
  5. Workpiece stack, material thickness and acceptance result required.

The tool model is the controlling identifier. A photograph of loose staples can support a review, but it cannot establish magazine geometry, driver clearance or approved length range. If the manual and retained sample disagree, stop and resolve the discrepancy before a production trial.

For a new source, run a labelled sample in the actual stapler and workpiece. Record feed stability, incomplete drives, misfeeds, crown seating, leg behaviour, marking and any surface damage. Keep the tool pressure and workpiece consistent so the test does not hide a dimensional mismatch behind an operating change.

Select Leg Length From the Material Stack

Start with the combined thickness and construction of the materials being fastened. Foam, fabric, thin board, hardwood, packaging board and framing material behave differently. The required attachment also changes: temporary positioning, upholstery retention and structural wood fastening carry different acceptance criteria.

Keep the Approved Sample Connected to the Purchase Order

After the trial passes, assign one sample code and staple drawing revision to the order. Put those references on the purchase order, carton artwork and incoming-inspection plan. A repeat order should point back to the same record rather than relying on the shorthand “same as last time.”

At receipt, check series, labelled dimensions, finish, strip condition, box count and traceability before releasing cartons to the line. If the plant uses several staplers, segregate the cartons by approved tool or production cell so visually similar strips are not mixed.
