A split-delivery order is not one receiving event stretched over several dates. Each arrival can carry a different production lot, packing list, carton condition, quantity, sample result, and acceptance status. If the buyer records only the original purchase-order quantity and a final balance, a later problem may be impossible to connect to the affected shipment. The solution is a delivery-line register that keeps the commercial order intact while treating each physical arrival as an identifiable acceptance event.<\/p>\n

Define the Split Before the First Shipment<\/h2>\n

State whether the order will be released by schedule, vessel, warehouse request, production batch, or another agreed trigger. Create planned delivery lines with target quantities, unit of measure, destination, required date or window, packing, document set, and responsibility for confirming release.<\/p>\n

Clarify whether the supplier may combine production lots within one delivery and whether one lot may be divided across deliveries. Neither approach is automatically wrong, but the labels and records must preserve identity.<\/p>\n

Keep Quantity Units Consistent<\/h2>\n

Choose the contractual unit: pieces, coils, cartons, weight, or an explicitly defined combination. Record nominal pieces per coil and packing counts only when they are part of the accepted specification. For each delivery, show planned quantity, shipped quantity, received quantity, accepted quantity, held quantity, rejected quantity, and cumulative balance in the same controlled unit. Conversions should use the agreed pack data and preserve rounding rules.<\/p>\n

Assign a Receiving Identity to Every Arrival<\/h2>\n

Record purchase order, delivery line, shipment reference, arrival date, supplier production lot, carton product code, pallet or package IDs, and warehouse location. Photograph representative labels and package condition before cartons are dispersed. If labels differ across pallets, record that explicitly.<\/p>\n

A receiving ID can connect inspection results, retained samples, nonconformance records, and production consumption to the same arrival. Avoid renaming the supplier lot in a way that destroys the original code; keep both the supplier code and internal receiving ID.<\/p>\n

Treat Acceptance as Delivery- and Lot-Specific<\/h2>\n

Acceptance of the first delivery confirms only the inspected goods and evidence covered by that decision. It should not silently approve later lots, changed packing, or a substituted revision. Define the inspection level and release authority for each arrival according to the buyer's plan and risk.<\/p>\n

Retain identified samples where required. If one delivery is held, the register should show whether unaffected deliveries remain available. Never merge held and released cartons simply because they share one purchase order.<\/p>\n

Route Nonconformance Without Freezing the Entire Order<\/h2>\n

Describe the affected delivery, lot, product code, carton range, quantity, and evidence. Determine whether the issue is lot-specific, shipment-handling related, packaging related, or potentially common to other deliveries. Expand containment only when evidence justifies it.<\/p>\n

If replacement goods are sent, assign them a new delivery and receiving identity while linking them to the corrective action. Never overwrite the rejected line; the commercial and quality history must show both events.<\/p>\n

Reconcile the Order at Closeout<\/h2>\n

Before closing the purchase order, compare ordered, shipped, received, accepted, rejected, replaced, credited, and outstanding quantities. Confirm that every delivery has a final status, every retained sample is labeled, and every lot can be traced to cartons or production consumption. Create Rules for Lots That Cross Shipment Boundaries<\/h2>\n

A production lot may be loaded into more than one shipment, while one shipment may contain more than one lot. The purchase agreement should say whether these patterns are permitted and how they appear on pallet, carton, packing-list, and inspection records. If one lot crosses two deliveries, each arrival still needs a receiving ID and package-condition record. If one arrival contains several lots, receiving should preserve their separation until the planned inspection and release decisions are complete.<\/p>\n

Define how retained samples follow this matrix. One sample per purchase order may be too weak when deliveries contain different lots; one sample from every carton may be unnecessary. The buyer's sampling plan should reflect product risk, lot structure, supplier performance, specification revision, and contractual requirements. Every retained sample needs both supplier lot and receiving-event identity.<\/p>\n

Commercial closeout should also recognize timing. A short shipment in Delivery 1 might be added to Delivery 2, credited, or replaced separately. Record the agreed route before modifying the cumulative balance. Otherwise the same missing quantity can be counted twice or disappear from the final reconciliation. For production consumption, issue stock by identified lot and receiving status. When a line reports a feed or surface issue, the warehouse can then identify which delivery and sibling cartons may share it. This is the practical value of the split-delivery register: it connects a broad commercial order to the exact goods on the line. At final closeout, verify that all delivery lines, lot statuses, samples, claims, credits, and replacement events reach a final state rather than leaving an ambiguous balance for the next reorder.<\/p>\n

Give Finance and Production the Same Status<\/h2>\n

Quality, warehouse, production, and finance often describe the same delivery differently. Create shared status definitions for received, physically counted, inspection pending, released, partly held, rejected, returned, replaced, and credited. A carton can be in the warehouse but unavailable to production and not yet eligible for final invoice closure. Link the delivery-line register to the commercial record without allowing one system to overwrite another's evidence. At weekly review, reconcile physical location, quality status, production consumption, claim status, invoice quantity, and remaining order balance. This prevents a held lot from being paid or consumed as accepted simply because the overall purchase order remains open.<\/p>\n
